A folder is visible to all club members when **Visible to all members** is on; otherwise, only members holding one of the chosen **Functions** can see it. Club managers and **File Managers** always see every folder.

## The three access levels

| Folder setting | Who sees it | Label under the folder |
|---|---|---|
| **Visible to all members** on | all club members | **All members** |
| off, with **Functions** | members holding one of these functions | the function names |
| off, no function | managers only | **Document managers** |

In every case, only club managers and **File Managers** can add, rename or delete folders and documents.

## Restrict a folder to the committee or instructors

1. Make sure the function exists and is assigned to the right members (**Manage the club** > **Member-related functions**).
2. Open **Documents**, then the folder; tap its name in the title.
3. Under **Access Rights**, turn off **Visible to all members**.
4. Under **Functions**, tick the allowed functions, for example "Committee" or "Instructor".
5. Tap **Save**.

## Subfolders

Each subfolder has its own rights: they are not inherited from the parent folder. For a member to see a subfolder while browsing, they need access to both the parent folder and the subfolder. Remember to set each subfolder's rights, especially when the parent is open to everyone and the subfolder holds restricted documents.

> **CAUTION**
A link copied with **Copy link** grants no extra access: whoever opens it must be a club member with access to the folder.
